The Executive Administration Assistant will provide leadership in the running of the Office of the CEO including management of operational details of the Office.   


Responsibilities for this role include: 


  • Anticipate needs to manage daily activities of CEO's office.
  • Schedule and set-up meetings, prepare agenda materials, and follow-up on all pending issues.
  • Organize, prepare, and compile data and materials needed by the CEO for internal and external meetings and conferences.
  • Manage special events for President’s Office and provide input for Company functions.
  • Prepare and edit reports, spreadsheets and presentations.
  • Prepare reports by collecting and analyzing a variety of information.
  • Manage the CEO’s small and large scale meetings, conferences and teleconferences.
  • Quality review presentations and financial reports for concept and accuracy.
  • Maintains databases and tracks project deadlines.
  • Coordinates all department senior staff meetings, conferences and luncheons. Orders and prepares all items necessary for such events.
  • Prepare correspondence and special reports for the President and Board Committees.
  • Assist the President with the development and preparation of presentations to the Board.  
  • Compose, edit, and delegate incoming and outgoing correspondence.
  • Provide information and assistance to members of the Executive Team utilizing knowledge of PBI-Gordon's goals, policies, and procedures.
  • Coordinate local, national, and international travel logistics.




  • Bachelor's Degree from a four-year College or University and/or seven (7)+ years of experience or equivalent combination of education and experience working for a CEO of a corporation.

Required Skills: 

  • Demonstrated professional maturity and the ability to maintain a high level of confidential information.
  • Aptitude to engage with people and demonstrate patience.
  • Ability to read, analyze, and interpret general business periodicals. 
  • Ability to write reports, business correspondence, and procedure manuals. 
  • Ability to effectively present information and respond to questions from the Board, management, employees, guests, and the general public. 
  • Ability to define problems, collect data, establish facts and draw valid conclusions. 
  • Ability to interpret an extensive variety of instructions and deal with several abstract and concrete variables.
  • Proficient using Microsoft Office (Outlook, Word, Excel, Power Point), Adobe Pro, (and Concur is a plus).
  • 2+ years of experience with budget preparation in past or current role.
  • Expert level written and verbal communication skills.
  • Proven ability to be adaptable to various competing demands, and demonstrate the highest level of customer/client service.

Preferred Skills:

  • Accounting or bookkeeping experience a plus
  • Event planning experience a plus
  • Organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with staff, board members and external contacts.
  • Forward looking thinker, who actively seeks opportunities for improvement and proposes solutions.


  • Travel required in this position 0-10%
